How to Move Maintenance from Excel to a CMMS

A successful CMMS migration is an operational change, not a file conversion. Keep the scope small enough for the team to use the new process while the data is still being improved.

Inventory the spreadsheets

List the files, owners, update frequency and decisions each sheet supports. Identify duplicates and nominate one source for assets, PPM and parts. Keep protected copies before any cleanup.

Design the destination

Agree the site and asset hierarchy, required codes, status values and responsibility before importing. Mapping inconsistent data into a clear structure is more valuable than preserving every old column.

Pilot with representative records

Import critical assets from different areas, create several PPMs and raise real work. Check that engineers can find equipment and that managers can see the result. Fix the template before the bulk import.

Cut over without dual entry

Choose a date after which all new work is recorded in the CMMS. Keep old spreadsheets read-only for reference. Dual entry creates two incomplete systems and quickly destroys confidence.
