Please read this policy with our Subscription Agreement.

If anything is unclear or your organisation needs contractual commitments beyond this policy, contact us before subscribing.

1. Who this applies to

This policy applies to every customer, Authorised User, Demo user and person using a public Maintain CMMS form or link. The customer must ensure its users comply. It supplements the Subscription Agreement.

2. Lawful and authorised use

Use the service only for lawful internal business activity and only with data, documents, images and contact details you have authority and a lawful basis to process. Do not upload unlawful, defamatory, infringing, deceptive or malicious material.

The service is not designed to store payment-card data, passwords, private keys, criminal-offence records or special-category personal data unless we expressly agree suitable safeguards in writing.

3. Security restrictions

You must not gain or attempt unauthorised access; discover another tenant; probe, scan or test vulnerabilities without written permission; bypass authentication, permissions, rate limits or plan controls; introduce malware; intercept traffic; share accounts; or disclose credentials.

If you encounter information that may belong to another customer, stop, preserve minimal evidence and report it privately to support immediately.

4. Service integrity and fair use

You must not overload, disrupt or degrade the service; operate unapproved automated scraping; send spam; create repeated trials; upload files primarily for unrelated storage; generate artificial traffic; or use the product to provide a competing hosted service.

Published limits—including file type, size, record count and plan limits—are security and cost controls. Attempts to evade them are prohibited.

5. Public forms, email and Flows

Public requests, invitations, templates and Flows must not be used for unsolicited marketing, harassment, impersonation, phishing or unlawful surveillance. Customers are responsible for recipients, message content, trigger configuration and having a lawful basis to contact people.

Automated outputs must be reviewed where an error could affect safety, legal compliance, employment or a person’s rights.

6. Investigation and enforcement

We may investigate suspected misuse and preserve relevant audit evidence. Depending on severity, we may warn, rate-limit, remove unlawful content, disable a feature, suspend an account or terminate under the Subscription Agreement.

We will act proportionately and, where safe and lawful, explain the concern and provide a chance to remedy it. Immediate action may be necessary for security, unlawful activity, credible harm or protection of other customers.

7. Reporting concerns

Report suspected abuse or security concerns to support@maintaincmms.com with the organisation, time, affected record and a concise description. Do not send unnecessary personal data or exploit a suspected vulnerability further.
